Server downtime

You may have noticed some downtime today. The server went bananas earlier today and decided it did not want to come back up after a reboot. We reboot it so infrequently (that's a good thing) that I guess it didn't like it. The techs ended up putting in a new hard drive and doing a complete reload. I apologize personally for the downtime and assure you it was not something that could have been foreseen. The techs were great. They addressed the issue immediately.

I greatly appreciate all of you who were so patient. I maintain that I have the best hosting clients out there!

A friend recommended this and it looks like a great resource! I haven't tried it personally since I own PDF software already but I feel comfortable passing this along given it was recommended by jl Scott of http://www.i-cop.org/

Let me know what you think of it!

Suggestion for using the software (mainly how I use my pdf software):

Print your receipts for purchases to pdf files and store them in folders on an external drive which you backup periodically. At the end of the year, burn the PDFs to a CD and file it with your taxes.

I originally planned to trash my paper receipts but CDs are only good for 5-10 years so you will probably want to keep the paper copies. However, maybe you can store them somewhere else.

I file my emails in Outlook as well as printing a paper copy and printing them to PDF and saving on an external drive. Redundancy is the key to any backup system!

Now, go forth and create PDFs!

Have you started working on your taxes???

In case you haven't noticed, April 15 is right around the corner. My blog entries for this month are few and far between because I did not keep my books up-to-date last year like I should have. I am committing to not letting this happen again. The past couple years, I have spent hours at tax time getting everything ready. This year, I was going to have my accountant do my taxes but at the rate I'm going, I may end up doing them because it's taking so long to get everything together. I use financial software but I'm having to break down a year's worth of payments and as much as I pay Amex per month, let me tell you, it's not fun!

Tip for you: I downloaded my transactions from the amex website in csv format then I updated the account and sub-account and created a pivot table that does all the calculations for me. Saved a lot of time but I'm still not going to procrastinate doing the breakdowns this year. I am not paying the bill until I have broken it down by category and subcategory! Besides, what good is breaking it down to the level I do it if I'm not reviewing where the money is going on a more frequent basis!

An empty inbox? Yes, it is possible!

Has your inbox ever been empty? Besides when you first installed the software? Well, mine had not either until recently. I am going to share with you how I did it.

Have you ever heard of "Getting Things Done" by David Allen? Well, it's a great book and the methods taught actually do work. Recently, I was listening to the audio version of "Ready for Anything" also by David Allen and I decided to finally take control of my life and my inbox.

Using the methods taught in GTD (search for GTD on the internet and you'll find plenty of material, yahoogroups, etc. documenting this wonderful method), I managed to clear out the hundreds of emails AND create a task and project management system that works.

What I did:

- Listened to the audio book so get an overview of the methods. (Just do a search on the net. You'll find lots of great information i.e. http://www.43folders.com/2004/09/08/getting-started-with-getting-things-done/)

- Downloaded the free workflow at http://www.davidco.com/store/product.php?productid=16193

- Analyzed it and decided that I agreed with it and could follow it

- Downloaded GTD and Outlook (costs $10 but it's helpful) and set up Outlook very closely to
how the document suggests (I sort by Due Date then by Subject rather than vice versa)

- Cleaned out my inbox relentlessly following the GTD method.

- Now I maintain my empty inbox by processing mail as it comes in, adding tasks as needed, etc.

CLEANING OUT THE INBOX - HOW I DID IT

- I went through ALL my emails and deleted those that I did not want/need (no "doing" at this point, only processing) - I deleted newsletters I didn't need anymore, emails I had already replied to or even taken care of, filed those I truly needed, etc.
- Then I went through the emails that were left and created tasks for them using the categories @Calls, @Computer, @Errands, etc. like GTD suggests but I added a few that were relevant to me like @Kat for my virtual assistant who can logon to my PC and see at a glance what I need her to do.

To ensure important stuff wasn't forgotten, I would simply highlight the email and drag it to the tasks button on the navigation bar (this copies the text of the email to the task), choose the appropriate category, assign a date if needed, save the task.

What to do with all the emails: File the email in the corresponding folder i.e. a the email for a task created in @Calls went to the @Action folder, the email for a task I needed to do @Computer was filed in @Action, emails for replies/actions I was @WaitingFor went in my @WaitingFor folder.

At any given time I can refer to the @Action folder to see the backup for tasks I need to do but most often they just wait for me there until I do the task and delete/file the email since I dragged the email to the task button and have that information right there in the task.

Since I configured Outlook to work as described in the GTD and Outlook document, now I work from my Calendar (or Tasks) view rather than from my inbox!

I process email as it comes in (delete, do, delegate, defer, etc.). If I can't do the action in less than 5 minutes (David recommends 2 but I prefer 5 minutes), then I add a task right then and there.

You'll also wnat to process the spam folder at least a couple times a day to keep it from piling up if you have a spam filter in place.

One other thing: I still have a lot of reference emails in folders that I need to go through and purge but in the meantime, I've created a References folder and moved all those folders up under it.

So my email program looks like this (without the Reference folder expanded):

Inbox
***Spam
@Action
@Someday/Maybe
@WaitingFor
+ Reference
Outbox
Sent Items
etc.

You can only imagine how much my productivity has increased and my thoughts on checking email are no longer "Here we go again! Help!" It's more like "OK let's process these few messages then get back to working!"

The Importance of ICE

Did you see this article in Woman's Day? The article recommends that emergency contact information be included in paper address books and cell phone address books.

In the event of an emergency, an EMS (Emergency Medical Service) person could have an emergency contact phone number at their disposal immediately. Remember, you may not be able to speak so let your address book speak for you.

Here's how I added mine. I put ICE as the Last Name in case the EMT knows to press I to get to contacts beginning with I. I put "In case of emergency" as the first name. Then I put the work, home and mobile # for my emergency contact person.

If you want to list more than one, add another contact with ICE 2 or ICE Second choice as the last name.

Please help pass this on. It could end up helping you one day. Also, if you come across a wreck, you could be the one looking for this information!

Do you think your site has been hijacked?

This week, I had a couple clients report to me that Google was sending their traffic to a porn site! I was baffled and needless to say I ended up spending a fair amount of time on this issue.

I did some research and lo and behold, this is not something new. Apparently, Yahoo has fixed this problem but Google and MSN Search have not. I even found a page that tells about Google's Adsense address being hijacked last year!

Kayako has released version 3

For those who are clients, you'll notice a big difference when you click Support as you'll be taken to http://www.premiumwebdesign.com/techsupport/ rather than the old esupport link. I've installed version 3 and it's awesome! I'm still figuring things out (like how to enable the live support option) so be patient with me. Go login and check out how neat this new version is!

For those who are not clients, if you are a hosting company and you use Esupport from Kayako, you should really check into the latest version! (By the way, the system is great for project management. I added a department called "Project Management" and keep all outstanding projects in as a ticket. Clients can add a new ticket when they need website work done. The ticket can be updated as progress is made and all the information is accessible via the web! No more worrying about whether your email backup will work when you need it or not being able to access client project data when out of town.)

Forget resolutions! Set goals!

Well it's the 3rd of January so the year is passing by already. Did you come up with New Years resolutions? Personally, I am more of a GOAL-setter than a resolution kind of person. And I tend to set them high so even if I fall short, I still come out on top.

Example: One of my goals this year is to exercise every day. Will I do that? Of course not but if I set a goal to exercise 3-5 times a week, I'd keep procrastinating and end up only exercising 1-2 days per week.

P.S. Today is the 3rd of January. I'm headed now to exercise and it's the 3rd day in a row! :o)
I also set a scrapbooking goal that I'd do at least a few minutes of scrapbooking each day and so far, I'm 3 for 3 on that one too. This year, I've promised myself I'm not going to spend most of my waking moments working. What good will I be to my clients if I don't take care of me?!

Never click a link in an email supposedly from Paypal

Today, I wanted to remind you to ALWAYS go to Paypal's website in your browser before doing anything prompted from an email. Some of the phishing scams look very legit and can trick even a savvy person if they are in a hurry. Spam software will catch many of them but not all. If you hover your mouse over the link, you can usually tell that the link is not legitimate but not always.

So PLEASE remember to open your browser (IE, Firefox, etc.) and manually go to Paypal's website! Better safe than sorry!

Setting & Achieving Your Business Goals (Article by Alice Seba)

There's no time like the present to review the past year and make some solid goals for your growing business. Here are a few tips for setting and achieving those goals:

1. Brainstorm - Start writing a list of things you'd like to accomplish. At first, you might think you don't have any ideas, but soon they will come pouring out. You may even end up with too many goals that you could realistically accomplish. Prioritize and decide which are most important.

2. Write your goals down in one central place and record any changes you make to your goals - This way you can track your progress and will be become even better at setting goals for yourself in the future.

3. Make sure your goals are challenging, yet attainable - In other words, don't make them all too easy, but then again, don't list a bunch that you will never achieve. If you make them too easy, you will feel like you haven't accomplished much and if you make them too difficult, you'll feel defeated.

4. Set a realistic timeframe for your goals - Remember, you can't do everything at once. If you have short and simple goals, set short timeframes. For your more involved goals, analyze the steps needed to complete them and be realistic about how much time you will need to accomplish your goals.

5. As you write down your goals, ask why is this my goal? - If your goal is to set up an affiliate program for your site, you will motivate yourself better if you understand and remind yourself why you are doing this. It may be to increase your website traffic, to earn more income or to create brand recognition for your product. It could be any number of things, but make sure you know what they are.

6. Make your goals measurable - Don't just say, you want to learn about graphics. Make a specific plan. Perhaps, you want to learn about Flash graphics and you want to be able to make your own Flash movie. Or perhaps, you're happy just being able to design your own animated gif. You need to be able to see when you've achieved your goals.

7. Identify what "tools" you will use and how will obtain the "tools" to achieve your goals - Perhaps, your goal is to build your own web page for the first time. You need to think about what you need to do that. Two of the many things you might need are software and a tutorial or the help of knowledgeable friend. You'll need to purchase the software or find the freeware. You'll also need to look around for the tutorial or see when your friend might have time to help you.

8. Don't overload yourself - We all want to get everything done and to be as perfect as possible, but don't give yourself too much. Remember, time with family is why you have a home business. It's okay to have a larger number of small, easily attainable goals, but do limit the number of major goals that require a number of resources and significant time to achieve. Remember, as in a previous step, you can always revisit and revise your goals if need be.

9. Divide your goals into short term and long term goals - If you keep this list separate, you can better organize yourself to complete them. Short term goals usually can be completed at anytime with not much time commitment. Your long term goals will require more involvement and you don't likely want to take on too many long term goals at one time.

10. Revisit and revise your goals when necessary - This doesn't mean that if you're a procrastinator, you can just come back and push all your dates back. This exercise is to see if you are on track with your goals. Perhaps, you're a little ahead of schedule and you can add a goal or two. Maybe, you're falling behind, and that's okay. You need to look at why you're falling behind. Is it because you didn't dedicate the time necessary, you didn't have the tools to accomplish your goals or was it just unrealistic planning? You can learn from all these things and set better goals in the future. If you do extend a deadline, make a new plan on how you will meet that new timeframe.

Always, congratulate yourself on a job well done. Share your successes with your family and peers. Then start working on the next goal...

Today we celebrate the birth of our Lord and Savior, Jesus Christ. Please say a prayer for those who are celebrating for the first time without a loved one. My father passed away in 2004 so last Christmas was our first one without him. Until you've gone through it, you have no idea how it feels. It was really hard to get into the season.

This year is the second Christmas without my Daddy (who still called me "Baby Girl"). In some ways, it seems even harder because it's been even longer since I've talked to him, hugged him, seen his smiling face. With the help of family and friends, I will get through it though. I really feel bad for those who have lost a loved one and don't have anyone to be there for them. Please say a special prayer for them!

This is my first year time hearing about the 12 days of Christmas from Mark Hendricks. Apparently, he gives away thousands of dollars worth in gifts. This came highly recomended from a friend on a mail list that I'm on or I wouldn't be recommending it to you. Her only warning was that you are giving your email address to lots of marketers as you claim your gifts so you may want to pick and choose.

You may also want to create a folder on your computer called 12DaysChristmas so you can store everything together and remember where it came from months from now.

Before you know it, 2005 will be history. Here are ten things I plan to do before 2005 is gone forever.

Continue to thank God for all successes I've had this year!
Spend lots of time with my family over the Christmas holiday!
Continue to thank my clients who help make Premium Web what it is. For example, I've sent out some Christmas cards but I need to get the rest of them out asap.
Evaluate what I did in 2005 that worked well.
Evaluate what I did in 2005 that didn't work so well.
Post to my blog more often.
Finish up some work that's been in progress longer than I'd like due to me being sick.
Clean out my email and start the new year as fresh as possible.
Spend some money on things I need to buy anyway so I can reduce my tax bill
Finish getting everything together for my accountant. True, not the funnest thing but a necessary evil of having a successful business.

What do you want to accomplish before 2005 ends? If you don't put it in writing, it probably won't happen.

Did you see that? It was time swooshing by! I can't believe it's been so many days since I posted to my blog! I did really good there for a while but do you know what happens? I come across many things in a day's time that cause me to think "Ooooohhhhh, I should post that to my blog" but I don't stop and do it right then so I get side-tracked.

Are you allowing life to pass you by? Thinking you'll 'do it later'? Whether it's posting to a blog, signing up for Google AdWords, updating that webpage you've been meaning to update, or just calling one of your oldest, dearest friends ... how about stopping now and just doing it?

Sometimes, we procrastinate and never get around to doing those things that we really should make time for. I challenge you to go do one thing you've been putting off as soon as you finish reading this sentence!

In response to Hurricane Katrina, the International Virtual Women's Chamber of Commerce is launching the Adopt-A-Businesswoman Program to help Gulf Coast businesswomen get back on their feet. A virtual open house to introduce the program is scheduled Friday, September 9 through Sunday, September 11. It will start at 3 p.m. eastern.

The Adopt-A-Businesswoman Program will match Gulf Coast businesswomen with businesswomen from around the globe who can assist them with getting business equipment, web site updates, marketing, sales, transitioning their brick and mortar company online, coaching, accounting, virtual assistance and more at no cost.

Now that vacation is over :o( it's back to the everyday grind! I want to make a plea to all of you reading this to please donate blood. The Red Cross has an urgent need so please consider taking a few minutes (ok, maybe an hour or so) to give blood. You never know whose life you will save! After 9/11, the lines were so long and people would wait HOURS but now, it's back to the red cross having to plead with us to give blood and I just think that's sad. And YES I do donate blood myself. I'm O+ which means I'm a universal donor so I most definitely make the time to do this as often as possible. (The Red Cross will allow you to give every 56 days.)

Going on vacation!

Sort your spam

Tip: When looking through your spam folder, sort the folder by subject (most email programs, you just click on the word "subject" that's the column header to sort by that column). I do this so that I can see all the same spam at once. In other words, the subject is the primary criteria I use to determine if something is spam. I also glance at the sender but subject is usually a dead giveaway and sorting by subject allows me to evaluate each subject once.

This also helps when the occasional email comes through that looks legit but is easily determined to be spam because (1) it was received at several email addresses and (2) one or more of the addresses it was sent to are email addresses you don't use much i.e. your isp address rather than your domain address.

Font size went crazy?

Has the font size on your PC for some reason gotten larger or smaller? Try simply holding down the CTRL key while you scroll up or down using the arrow keys on your keyboard or the wheel on your mouse.

You can also do this to increase or decrease the font on websites that are coded to allow it. (Sometimes late at night when my eyes are tired, I increase the font size. :o)
